I use PDFPen Scan+ to scan the receipt, I rename with a TextExpander snippet before sending it directly to my Dropbox Holding Folder. Secondly, I find myself scanning and submitting business expense receipts from iOS a LOT. Why have I specified that this should be setup as a Dropbox folder? Well, firstly, any folder connected to a Cloud Service is fine (Google Drive, OneDrive, iCloud) - I just happen to use Dropbox extensively. Now this Holding Folder has one purpose and one purpose only. The first stage is to set up a Holding Folder. This script will Import, OCR and Delete the original file. While the statement above is largely true, a small amount of lateral thinking can, however open up some possibilities. Using Hazel to rename files isn't possible within DEVONthink itself. However, after reading various forums and listening to some of my favourite podcasts, it seems that the general impression is that you can't have a workflow that includes them both. They are both amazing applications and I couldn't imagine having to live without either of them. I'm also going to continue on the basis that you know about the awesome power of DEVONthink Pro Office, the Database/Paperless Office/Finder Replacement/All round swiss-army-knife-type-storage-app for macOS. I'm going to assume that you already understand that Hazel is an amazing application for macOS, that watches over folders in some form of virtual nanny-state, performing file actions on your behalf whilst you get that busy work done. But again, I am not a tagger by nature.Before I move on with this post, I'm going to make a couple of assumptions. IMO tags should be used only deliberately and carefuly and only when I really truly cannot get the info from other means. I use yyyy-mm-dd whenever I have to put in a date and hh:mm:ss for times. Useful if you wish to edit those fields in your files. Will you use singular or plural in your tags? dog vs dogs (advantage for sheep here, no singular or plural modification )ĭepending on your subject matter will proper scientific names be important?ĭefine a date format that is consistent and a timeone if times matter. Will you want to have a tree of tags that things inherit if you select the bottom tag? ex any pictures tagged with Desert_Weyr_Yoda (name of our pet wether Yoda) also gets the tags ANIMAL, Ovine, sheep, domestic _sheep, Breed_BWMS, ANIMAL_SEX_AGE, wether with basically 2 trees of tags added. If you are going to tag think about things like will you want prefixes to group tags together? In filing I often add prefixes to files I need to stay together ex LambTracker-lambtracker.db and LambTracker-db_schema The only thing I tag are photos in LightRoom, and for that I developed (am developing) a very controlled vocabulary that also has set rules for the style of tags. I kept getting caought with me changing things in Finder and DT losing them. I also dabbled with using DT to index folders but also found that I use it best as a standalone for things I actually import. ![]() I’m not a tagger so my solution is to not use tags Seriously, I found that I did better when I set up a clean consistent folder system and filed things appropriately. ![]()
